What area are you updating? The following refers to CONTENT for:
  • Administrative- (incl. staff, policies & manuals)
  • Schools- (incl. programs, faculty/staff, curriculum)

What is considered content?

  • General (welcome pages, program descriptions, events, etc.).
  • Program (course outlines, descriptions, curriculum, etc.).
  • Faculty/Staff:  Correct listing, complete contact information, photos.
  • Compliance: SACS and state requirements (think about how to maintain our internal content standards while meeting these requirements).

Additional Guidelines & Requirements:

  • Identify or appoint section coordinators as your point person.
  • Coordinators should analyze respective areas on the current site, create a content update list and begin compiling content to address those items.
  • Content should be student-centric or reader-friendly; we no longer use mission statements/core values to introduce or describe programs. Instead, revise your mission statements/core values into two or three sentences that students can easily understand.
  • Focus on consistency, accuracy and delivery of final product.
  • Text/verbiage must be final and edited, and submitted in a Word document; we will copy and paste this text into the page.
  • Forms, applications, flyers, brochures, charts, letters, etc. must be submitted in PDF format. We no longer upload Word documents or Excel spreadsheets on the website.
  • Photos must be submitted as JPEGs or PNGs and be a maximum of 900 pixels by 900 pixels.
  • PDFs must be WORD generated (document scans are not acceptable).

Please note: We do not respond to emails to webmaster@vsu.edu. Requests will be processed by adhering to VSU Technology Services SLA – Allow three business days for your request to be acknowledged, one to two business days for emergency business needs. 


Found a mistake on a Page?

The first step is to submit a web request through ServiceNow. That notifies the entire web team and gives them the documentation they need in order to get started.

Explain that in your request and someone from the team will reach out to you to help you gather the necessary resources.

The VSU Flickr account, which is run by the Office of Communications, holds a large number of photos that are available for you to pick from. You can share the link to a specific photo in your request so the web team can download the appropriate size. Photos from other places can be used on the site, but they must be copyright-free.

Yes, after logging in, select the related request underneath "My Open Requests." You can also click the link to view the request in the automated email that you received when you submitted the request. Please be sure to tag the team member using the @ symbol to ensure proper notification.

The Office of Communications creates all the videos on the site. Please reach out to them separately before submitting a web request.

Submit a request through Service Now. For quick changes, indicate them directly in the request form. For more substantial changes, please detail them in a Word document. Follow this video for a step-by-step explanation.

Please start the process by planning your page's navigation and content; this can be done by researching areas on the VSU website or other universities. Once you have a good idea of what your site should look like and communicate, submit a request through Service Now. Follow this video for a step-by-step explanation.

Changes should only be requested by your department's web coordinator and approved by your department's chair or director. NOTE: new website requests must first be approved by the Office of Planning and Institutional Effectiveness.

Depending on the nature/lengthiness of your changes, and the completeness of your request form, your request can be fulfilled within 72 hours.

The timeframe of a new website largely depends on its complexity, timeliness of delivered content and the number/frequency of revisions. This process can take several weeks.
